Your data, handled properly.
This explains what HoundCheck collects, why, who else sees it, and how to ask us about it. We don't sell data, and we don't use advertising or tracking cookies.
HoundCheck is operated by John Batey, trading as HoundCheck, who is the data controller for account and service-administration data.
What we collect and why
If you run a salon on HoundCheck, we hold your account details (name, business name, email, phone) to give you access and keep your account secure.
On your behalf, HoundCheck also stores the records you add about your own clients and their dogs: contact details, appointment history, and health, vet and grooming notes. That's your data, about your customers. We store and process it for you, but your salon decides what's collected and why. If you're a dog owner with a question about a specific salon's records, the quickest route is usually to ask that salon directly, since they hold the relationship with you.
Who we share it with
A small number of specialist services help us run HoundCheck. Each only sees what it needs to do its specific job:
A cloud hosting provider
Runs the HoundCheck application itself.
A database and backup storage provider
Stores your records and keeps encrypted nightly backups.
An error-monitoring service
Alerts us automatically if something breaks, so we can fix it quickly.
An email delivery service
Sends booking confirmations, reminders and other messages by email.
An SMS delivery service
Sends booking confirmations and reminders by text message.
Our current providers are named in our Data Processing Agreement, along with the safeguards that apply when we process salon data.
How long we keep it
We keep account and client data for as long as the account is active. If a salon removes a client, that record is recoverable for 30 days in case it was a mistake, then permanently deleted.
Keeping it safe
Connections to HoundCheck are encrypted, backups are encrypted, and access to salon data is restricted to that salon's own team. Sensitive account actions are logged with who did what, when, and the originating IP address. These security records are kept only for as long as they are needed to protect accounts, investigate misuse, meet legal obligations, or resolve a dispute.
Cookies
We use one essential cookie to keep you signed in. We don't use advertising or tracking cookies.
Your rights
Under UK data protection law, you can ask to see, correct, or delete personal data we hold, and object to how it's used. Contact us and we'll help, or point you to the right salon if the data in question is theirs to manage. You can also complain to the Information Commissioner's Office (ico.org.uk) at any time.
